For people rostered to work for a food-truck vendor at an event.
Your Role in Crewbase
Staff are people working for vendors, normally at a food truck. Your vendor prepares the roster and confirms your event shift.
Responsibilities:
- Profile — Keep your account and identity information current.
- Shift — Review the vendor, event, date, location, role and times before accepting.
- Documents — Complete required acknowledgements before event day.
- Entry — Display your current QR staff work pass at the gate.
- Clocking — Tap the correct food-truck NFC tag at start and finish.
- Problems — Tell your vendor immediately if the pass or clock record fails.
Receive and Confirm a Shift

Review the correct vendor, event, role, date, location and times.

Check dress, arrival, work, document and contact instructions.

Accept or confirm so the vendor knows you are attending.
- 4
Wait for confirmation
applying does not place you on the roster until the vendor confirms you.

Before travelling, make sure the event QR work pass is visible.

Identify the correct vendor/truck and where to report.
Complete the official Didit KYC identity verification when required. Use your own valid identity document and never share your login or pass.
Enter the Event

Sign in to Crewbase before reaching the gate.
- 2
Open the current work pass for the correct event and shift.
- 3
Present the QR code to authorised gate staff.
- 4
If rejected, remain at the gate and contact your vendor or promoter representative.

After entry, go directly to the correct vendor supervisor.
Clock In and Out at the Truck
- 1
Open the relevant shift/clock area in Crewbase.
- 2
Tap the NFC tag fixed to the vendor's food truck to clock in.

Wait for Crewbase to confirm a successful start record.
- 4
Tell the vendor immediately if the displayed record looks wrong.
- 5
Tap again when finishing to clock out.
- 6
Confirm the clock-out succeeded before leaving.
Do not ask another person to scan your pass or tap the NFC tag for you.
If the NFC tap fails: confirm NFC is enabled, use the correct food-truck tag, hold the phone close to the tag, confirm you are on the correct account and shift, then tell the vendor immediately.
Troubleshooting
Shift is missing
Check the correct account and ask the vendor whether you are confirmed.
QR pass is missing
Check the confirmed roster/event and contact the vendor.
QR will not scan
Refresh/reopen the current pass and stay with gate staff for escalation.
NFC tap fails
Check NFC, correct tag and correct shift; notify the vendor.
Start/finish time is wrong
Tell the vendor immediately and provide the actual time.
Cannot sign in
Use the password-reset option, check network and contact support if unresolved.
Your vendor/employer is responsible for your roster and pay. Check your shift rate before accepting. Raise incorrect hours with the vendor promptly.
